Choose software by the work it helps you complete and the detail your team can find. Start with one real job, include an awkward change, and follow the records through to billing.
Start with the problem you can describe
Write down three moments when work gets delayed or information goes missing. “We need better software” is too broad. “The office cannot tell whether the extra materials were billed” gives you something you can test.
Include the people who enter the information as well as the person who reviews it. A field worker needs a quick way to record the job. The owner needs to understand the result. A system has to work for both.

Test the whole job, including a change
Use a representative job rather than the vendor’s simplest example. Create the customer, prepare a quote and inspect the document the customer receives. Then schedule the work and record time and materials.
Now add the complication that happens in your business: another visit, a changed crew or an addition to the scope. Find out where that change is recorded, who can see it and how it affects the invoice. A smooth first screen is less useful than a clear handover between these steps.
Separate the software subscription from the cost of moving
Count the users who need access: office staff, people on site and anyone supervising work. Check which plan contains the specific capabilities you tested, and note payment-provider charges or message credits where they apply.
Before importing records, ask what your existing data can become in the new system. A customer list, open quotes, unpaid invoices, documents and historical jobs may need different treatment. Confirm supported formats and responsibilities before choosing a changeover date.
Make a decision from evidence
Record whether each test worked, what configuration it required and what still needs an answer. Do not score every feature equally: a missing essential workflow can matter more than ten convenient extras.

Check the device your crew actually uses
Try the field workflow on the phone or tablet your team carries. Sign in as the person doing the work, open the assigned job, find the site instructions and record a note and time entry. Then check the result from the office account.
Repeat the test with the connection normally available at your sites. Confirm what happens when coverage is poor and whether the required information remains available. Do not assume offline support because a product has a mobile app. Include permission limits, photo handling and the effort of finding the next job in your decision.
